A fictional renewal packet presents five evidence states, including disputed and unmeasured results.

A renewal evidence packet should help the customer decide whether the service remains useful. Selecting only favorable outcomes can make the packet persuasive while hiding the work that still needs attention. Include achieved, incomplete, disputed and unmeasured results with their evidence and implications.

The packet is not a courtroom brief for renewal. It is a balanced record of what the service was meant to do, what is known now and which decision the customer needs to make. A reliable packet can support renewal, a narrower scope or a decision to leave.

Begin with the agreed service outcomes

List the original deliverables and intended outcomes, keeping them distinct. Delivering a workshop is an activity; the customer's ability to apply the process is an outcome that needs separate evidence. Do not rewrite the original objective to match whichever result looks strongest.

Identify material scope changes and the dates they became relevant. A requirement added late should not be presented as an original failure, but it also should not disappear from the current decision. Explain the boundary without assigning blame.

Use a balanced evidence structure

Organize the packet into achieved and accepted, delivered but awaiting acceptance, incomplete, disputed and not measured. For each entry, include the source, relevant period, owner and next action. Keep estimates separate from observations.

W3C's provenance overview provides context for making information origins traceable. The packet should allow a reviewer to inspect the evidence behind a claim, not merely admire a summary. A source link does not remove uncertainty about scope, measurement or attribution.

Fill a fictional renewal packet

Fictional Alder Reporting supports a customer dashboard and monthly review process. The renewal packet covers the agreed service period using an invented example.

  • Achieved and accepted: the named customer owner confirmed the required unresolved-case view.

  • Delivered, acceptance pending: a revised export was supplied but not yet reviewed by the customer.

  • Incomplete: administrator guidance still needs one agreed section.

  • Disputed: provider and customer differ on whether a location filter meets the original requirement.

  • Not measured: no reliable baseline supports a claimed reduction in preparation effort.

  • Next decisions: resolve the filter interpretation, finish guidance and assess the future service scope.

The packet does not report actual customer results or imply that unresolved items should be ignored because one outcome was positive.

Include evidence against the preferred conclusion

Ask what would make renewal less appropriate. The customer may no longer need a workflow, an alternative may fit better or the provider may lack capacity for a changed scope. State those possibilities when supported rather than burying them in an appendix.

Do not manufacture negative evidence for artificial balance. The aim is complete relevant evidence, not equal numbers of positive and negative bullets. Material issues deserve attention because of their consequence, not because they fit a presentation formula.

Make the packet proportionate and private

Use the minimum information needed by the agreed reviewers. Remove unrelated personal commentary and restrict sensitive support details appropriately. NIST's voluntary privacy framework offers context for data minimization and purpose review, but it does not authorize disclosure or determine legal obligations.

Separate the renewal evidence from new commercial terms. If an expansion is proposed, identify its additional requirements and costs rather than making it look necessary to preserve the existing service. Contractual questions belong with the authorized reviewers.

Before sharing, have a colleague check whether each conclusion can be traced to evidence and whether every material open issue appears. Invite customer corrections without treating silence as acceptance. The packet is complete when it makes the current service decision clearer, including the legitimate possibility that the best next step is less work, different work or no renewal.
