Validate CRM Evidence Links Without Widening Access
Audit migrated attachments for content, associations and authorized access, and resolve broken links without making restricted evidence public.

A migrated record can display an evidence link that opens successfully for an administrator and fails for the salesperson who needs it. Another link may open a different version of the document, an expired download, or an unrelated file with a similar name. Link presence is therefore only the beginning of attachment validation.
Audit identity, content, association, and access separately. The aim is to restore the approved evidence route, not to make every file public so the migration checklist turns green. Access failures can reveal a genuine permission boundary that the new system must respect.
Define the item being migrated
Distinguish an uploaded attachment from a URL referencing an external document. An attachment may need a controlled file transfer; an external reference may need only its verified link and context. Record whether the evidence is a fixed historical version or a living document whose content changes.
HubSpot's export documentation separates record property and association exports from routes for exporting activities. Do not assume one generic export contains every file or note your workflow requires. Inventory the actual items and supported migration paths for the systems involved.
Include only evidence whose retention and use remain justified. A migration is an opportunity to review unnecessary copies, but not authority to delete required records without approval.
Create an access-aware evidence ledger
In this fictional exercise, four synthetic accounts each have one evidence item. The ledger records the source reference, intended destination, associated account, required audience, and test result.
E11: a public company announcement; expected to open for the intended reader without revealing unrelated private material.
E12: an internal project note; expected to open only for the approved project team.
E13: an expiring download link; requires a permitted durable reference or approved file migration, not reuse of a temporary token.
E14: a customer-provided document; retains the original audience restriction and reviewed purpose.
Add content identity checks, such as an approved digest for an unchanged file or a version reference for a managed document. A filename alone is weak evidence: several files can all be called research-summary.pdf.
Test with the right roles
First, confirm that the link or file belongs to the intended account and supports the cited observation. Then test access through an authorized representative role. Administrator access can verify existence but cannot establish ordinary-user usability. Conversely, a denied reader may be correctly denied if they were never part of the approved audience.
Check whether the destination previews, downloads, or copies the item. A preview that omits a critical page should not be accepted as full availability. If the system creates a copy, review its permission and retention behavior separately from the original.
Avoid putting access tokens, signed URLs, or confidential document titles into broad troubleshooting logs. Use internal item references and a restricted issue link when needed. A report about broken evidence should not become a new disclosure route.
Resolve failures without widening access
Suppose E12 works for the migration operator but fails for the authorized project team. Ask the file owner or administrator to restore the minimum approved access through the supported sharing process. Do not turn on public-link access as a shortcut. If authorization is uncertain, keep the evidence-dependent account action held.
For E13, establish whether the source permits retaining a copy. If it does, move it through the approved process and record the new version reference. If it does not, request an authorized durable route or mark the evidence unavailable. Repeatedly renewing temporary links cannot substitute for a retention decision.
For E14, verify that the document has not accidentally inherited the broader audience of the new CRM. Successful opening by an unauthorized test role is a failure, not a convenience.
The acceptance report should show items present, correct content confirmed, correct association confirmed, required access verified, and excess access absent. List untested roles and unresolved links explicitly. Release evidence-dependent work only when its supporting material is genuinely available to the right people under the intended restrictions. A collection of clickable URLs is not yet a verified migration.
If you are also choosing research access, ask about Leads Automation’s independent Sales Navigator offer at US$15/month on WhatsApp. Confirm the available plan, eligibility and terms before ordering; this is not LinkedIn’s official price or an assurance that any particular integration is included.
