A salesperson sees “opening a new distribution center” in a lead record and builds a message around it. The note came from an old article about a different subsidiary. The problem is not simply stale data: the record has lost the connection between a claim, its source, and the entity it describes.
B2B lead data source tracking preserves that connection. Sales Navigator can be one research context, but the strongest handoff explains which specific facts were observed and which still need checking. A general label such as “LinkedIn research” is not enough for an important claim.
Attach evidence to the field that needs it
Use a compact evidence entry rather than copying entire profiles or pages. For a consequential field, retain the permitted source reference, a short original summary, observation date, any stated effective date, and the researcher's name or team. Keep only what is necessary to support the business decision.
Claim: the precise statement being supported.
Entity: the person, company, subsidiary, or location it applies to.
Source: the relevant official page, authorized record, or conversation reference.
Time: when the source was checked and when the event actually occurred.
Status: observed, corroborated, conflicting, or unverified.
For example, a hypothetical manufacturer announces a warehouse opening in May. A researcher reads the announcement in October. The checked date is October, but the opening date is May. Keeping both prevents a colleague from describing the news as something that happened this week.
Separate change history from supporting evidence
Your CRM may show how a value entered the system. HubSpot's property history displays earlier values, dates, and change sources. That helps investigate edits, but an import or workflow label alone does not explain why the original claim was credible.
Maintain the evidence reference alongside the value. An automated update should preserve the old source long enough for an authorized reviewer to understand the change, subject to your retention policy. Avoid making a new timestamp look like fresh verification when a system merely moved an unchanged value.

Resolve disagreements without hiding them
Check that both sources describe the same person and organization.
Compare the dates of the underlying events, not just page update dates.
Prefer the source closest to the specific fact, such as an employer announcement for an appointment.
Keep the conflict visible if the evidence remains inconclusive.
Pause any outreach wording that depends on the disputed claim.
A company homepage may use a shortened brand name while a contract uses a legal entity name. Those can coexist without one being wrong. By contrast, two incompatible current employers require review. Record the distinction instead of choosing whichever value makes the spreadsheet more complete.
Use AI for organization, not fabricated provenance
An approved AI tool can reorganize permitted research notes into a claim-and-source format. Require it to use only supplied references and mark unsupported claims as unknown. Do not let it invent URLs, backfill missing dates, or turn a possible business need into a documented purchasing project.
Before sharing notes with an AI provider, check your organization's approved data-handling arrangements. Remove unnecessary personal details. A summary should still let a human open the relevant evidence and decide whether it supports the intended use.
Run a short evidence review
Choose one record that is about to enter active outreach. Ask a colleague to verify its three most important claims using the references provided. If a link is inaccessible or a note cannot be understood, repair the evidence or remove the claim. Track recurring failures so you can improve the research instructions.
Use a confidence framework for uncertain fields and a refresh process for time-sensitive facts. Apply your market's privacy and outreach rules; source transparency is useful governance, not automatic permission to contact someone.
