Train Sales Researchers with Synthetic CRM Cases
Design a four-case synthetic exercise for deduplication, uncertain roles and contact restrictions without copying live prospect records.

Training a new researcher does not usually require handing over real prospects’ records. Synthetic data can reproduce the decisions a learner needs to practice without copying a live CRM export into a classroom, shared drive, or AI tool. The challenge is to preserve the learning problem while removing the real-world identity and relationship.
Suppose a fictional team wants to teach deduplication, qualification, and respectful handling of a no-contact instruction. A useful training set should include those conditions deliberately. Randomly changing names in a real export is not the same as designing an independent synthetic exercise.
Start with the skills, not the source records
List the decisions learners must make. For this session, they should distinguish two branches of one company, recognize an uncertain role, retain a contact restriction, and avoid merging different people with similar names.
Then create fictional organizations, people, dates, and notes from scratch. Use clearly nonoperational contact placeholders and avoid addresses or phone numbers that could reach real people. Do not build examples around recognizable combinations from a particular customer account.
Label the dataset as synthetic in the file, instructions, and answer key. This prevents a later user from treating the exercise as an actual prospecting list or importing it into a production workflow.
Design a small challenge set
The fictional exercise contains four cases:
Alder Demo Group has two operating locations with different site codes. Learners must preserve the location distinction while recognizing the stated group relationship.
Casey Example appears as “operations lead” in one invented note and “project coordinator” in another. Learners must mark the role unresolved rather than invent authority.
Morgan Sample has a clear “do not contact for marketing” instruction. Learners must carry the restriction into the proposed handoff, not discard it as irrelevant to company fit.
Two invented people share a surname and employer but have separate synthetic identifiers. Learners must not merge them solely because the names look similar.
These cases teach different errors. Adding fifty clean rows would make the dataset larger without necessarily improving the exercise.
Write the answer key before the lesson
For each case, specify the expected decision, acceptable alternatives, prohibited inference, and evidence needed to resolve uncertainty. The answer key should reward a justified hold when the fictional evidence is incomplete.
For the role conflict, the correct outcome is not selecting whichever title sounds more senior. It is preserving both statements, recording the uncertainty, and identifying a legitimate verification step. For the contact restriction, a high qualification score must not override the instruction.
Include one intentionally ambiguous case where the instructor accepts more than one reasoned answer. This helps distinguish thoughtful review from memorizing labels.
Prevent training data from becoming operational data
Use an approved training environment and make any export unmistakably synthetic. Avoid connecting the exercise to live email, CRM updates, enrichment services, or messaging tools. A realistic-looking test record should never trigger an actual outreach action.
If software testing requires a particular field format, ask the system owner how to use safe test values. Do not assume that an invented-looking address cannot belong to someone or that a fake number is unreachable.
NIST’s privacy framework provides a general context for reducing unnecessary data handling. It does not certify that a dataset is anonymous or that any synthetic-generation technique eliminates all disclosure risk.
Review realism without copying identities
Ask an experienced colleague whether the exercise captures the intended decisions. Improve the ambiguity, source conflicts, and handoff requirements rather than borrowing more details from real accounts.
Keep the exercise version, learning goals, and answer key together. When the process changes, update the synthetic cases to match the new decisions. A good training dataset is useful because it is deliberately challenging and safely bounded, not because it is a disguised copy of production records.
