Lead List Access and Retention: A Practical Plan
Set practical access and retention rules for B2B lead lists. Limit exports, define ownership, and review whether stored research still serves a useful purpose.

A lead list can travel farther than the research team expects. Someone exports it for a campaign, shares it with a contractor, and uploads a copy to an AI tool. Months later, nobody knows which version is current or who can still access the records.
Access and retention planning reduces that confusion. Start with the purpose of the data, the people who need it, and the point at which it stops being useful. Sales Navigator access and CRM access are separate decisions; neither should imply permission to distribute prospect information broadly.
Define roles around actual work
Write a simple access map before adding more collaborators. A researcher may need to create evidence notes but not export the entire database. An assigned salesperson may need their accounts but not every region. A manager may need aggregated reporting rather than every contact detail.
Researcher: limited creation and review access for assigned work.
Sales owner: relevant account context, tasks, and contact restrictions.
Data steward: controlled correction, deduplication, and schema responsibilities.
Administrator: configuration access with a documented business need.
External collaborator: a bounded, approved dataset and an end date.
These are example responsibilities, not promises that every CRM supports the exact same role model. HubSpot's permissions guide describes separate CRM actions and access settings. Check plan-specific capabilities and test the effective permissions using appropriate administrator procedures.
Control copies, not just the main database
List the places where lead information can exist: CRM, spreadsheets, shared folders, email attachments, exports, and approved AI systems. Identify an owner for each approved copy. Where possible, share a controlled view instead of a file that will become detached from later corrections.
For a hypothetical consultant supporting a regional campaign, provide only the assigned accounts and fields needed for that project. Document the permitted use, review access at the end, and confirm what happens to working copies. Do not send the full database simply because it is easier.

Tie retention to purpose
The UK ICO's storage limitation guidance calls for justified retention and review rather than keeping personal information indefinitely just in case. It does not provide one universal retention period for every lead list. Get appropriate advice for the markets, obligations, and circumstances that apply to your organization.
State why each category of lead information is held.
Define the event that triggers review, such as a project ending or a relationship becoming inactive.
Assign the person who decides whether continued retention is justified.
Specify deletion, anonymization, or a documented exception as appropriate.
Include approved copies, backups, and downstream systems in the process.
Keep contact-suppression requirements in view when reviewing removal. Do not casually delete the minimal control used to prevent unwanted contact. Have the responsible privacy or legal professional resolve the appropriate retention treatment.
Make AI access a separate approval decision
A team member's ability to view CRM notes does not automatically authorize uploading them to any AI service. Check approved providers, account settings, permitted data categories, and contractual arrangements. Use account-level or de-identified summaries where they serve the task without unnecessary personal information.
Never share LinkedIn passwords, session cookies, or access credentials to distribute a research workload. Use authorized access arrangements and platform-supported features. Public business information still requires appropriate collection and use.
Run a practical quarterly review
As an example internal cadence, review active users, broad export permissions, external collaborators, and old campaign files each quarter. Adapt that cadence to your risk and obligations. Check immediately when someone changes role or leaves a project rather than waiting for the next scheduled review.
Document decisions in plain language so a new manager can understand them. Connect the plan with contact-preference controls and a shared data dictionary.
