Store Contact Preferences at the Right CRM Level

Store contact preferences by person, channel and purpose so imports, job changes and account updates do not erase or overextend restrictions.

Two contact instructions preserve limited evaluation scope and a separate person-level stop request.
Two contact instructions preserve limited evaluation scope and a separate person-level stop request.

A contact preference can apply to one person, one channel, one purpose or a wider relationship. If the CRM stores only an account-level “contact allowed” switch, a narrow request may suppress unrelated activity while a later update may accidentally reactivate a person who asked not to be contacted.

Model preferences at the level of the instruction. Preserve the original meaning, the relevant scope and the source. This is an operational design guide, not legal advice; applicable privacy, marketing and service-communication rules depend on jurisdiction and circumstances and need separate review.

Identify the dimensions of the request

Record the person or endpoint, channel, purpose, applicable organization or relationship where relevant, instruction, date and evidence reference. Distinguish an explicit instruction from a system inference. A failed email delivery is not a request to use another channel, and a new employer is not a fresh grant of permission.

Avoid demanding more detail than the person supplied. If they make a broad stop request, do not narrow it to a single campaign merely because that is easier to implement. Where scope is genuinely ambiguous, apply a cautious hold and use the appropriate review process rather than guessing a permissive interpretation.

Define precedence before conflicts occur

Restrictions should not disappear because another system supplies a more recent address or a positive engagement signal. Decide which events may change a preference and what evidence they require. A new import, account reassignment or inferred interest should not count as authorization to reactivate.

Keep service-related obligations separate from marketing eligibility, with authorized review for any communication that remains necessary. Do not label a promotional message “service” to evade a restriction. The schema should support a careful decision, not make the legal decision automatically.

Work through two fictional instructions

At fictional Pinebank Studio, contact P-66 says they do not want product updates by email but will continue receiving information needed for an already agreed evaluation. The record preserves the exact instruction and the evaluation scope. It does not become “all contact allowed.”

A different contact, P-67, asks the seller to stop contacting them. Their person-level restriction is recorded without disabling every operational interaction with Pinebank. However, the account owner must also consider whether any proposed route would improperly work around P-67's request or an organization-level instruction.

When P-66's evaluation ends, its limited information purpose is reviewed rather than kept as permanent permission. When a new email address appears for P-67, the restriction remains associated with the person. These are synthetic examples, not legal conclusions about a particular message.

Propagate scope without spreading unnecessary detail

Downstream systems need enough information to enforce the preference, not every private explanation the person gave. Use a stable reference, scope and status, with access to supporting context restricted appropriately. Avoid copying sensitive correspondence into every export.

Map how the preference reaches manual work, scheduled communications and authorized integrations. If a destination cannot represent the necessary scope, block the affected action or use a reviewed conservative representation. Do not let a technical limitation silently convert a restriction into an allowed state.

Test reactivation and over-suppression

Use synthetic cases for a new address, job change, record merge, shared inbox and conflicting imports. Confirm that a restrictive instruction survives identity resolution and that one person's preference is not blindly applied to every colleague. Also test whether a broad organization request is wrongly reduced to an individual record.

Check the actual CRM's fields, association behavior and automation limits. A conceptual person-channel-purpose model may require a supporting register in a simpler system.

The finished design should answer who expressed the preference, what it covers, where it is enforced and what evidence could legitimately change it. It should make both accidental reactivation and unnecessary overreach visible, while leaving legal interpretation with qualified reviewers.

Research access and CRM configuration are separate purchases. Leads Automation offers an independent US$15/month service and is not affiliated with LinkedIn. Confirm the actual plan, eligibility and terms; do not assume schema design, imports or integrations are included. Discuss the offer on WhatsApp.
