A customer saying that a service helped their team does not automatically authorize a public testimonial. Internal feedback may be candid, conditional or intended for a small audience. Reusing it in marketing can change the meaning, expose information or imply endorsement the customer never agreed to provide.

Create a feedback usage-rights record before turning comments into public material. It should preserve the original context and identify the exact wording, attribution, channels and permissions needed for the proposed use. A positive comment is evidence of feedback, not a publication grant.

Separate collection purpose from publication purpose

Record why the feedback was supplied: service improvement, support resolution, an internal review or an explicitly requested testimonial. Keep the relevant source and date. A review meeting may permit the provider to act on feedback without permitting publication.

Do not assume that anonymity removes every concern. A detailed story can identify a customer through its context, and confidentiality obligations may apply to company information as well as personal data. Legal requirements vary by jurisdiction and agreement; this guide is not legal advice.

Build a fictional usage-rights record

Fictional Rowan Logistics tells fictional Ash Consulting that a new handover document is easier to use, while noting that regional training remains incomplete. Ash would like to use the comment on its website.

  • Original purpose: private service review.

  • Supported meaning: the customer found the document easier to use; broader outcomes were not measured.

  • Material condition: regional training remains incomplete.

  • Proposed marketing use: a specific short statement on the website, with named attribution if approved.

  • Permission state: not granted; publication remains on hold.

  • Approval needed: exact wording, attribution, context, channel and any time or review limits through the customer's authorized route.

The record does not contain a real quotation or authorize any publication. It demonstrates how a favorable comment can remain unsuitable for marketing until the necessary decisions are made.

Review edits for changed claims

Shortening feedback can remove the condition that made it accurate. “The document is easier to use” should not become “Our service transformed regional performance.” Do not turn a qualitative observation into a numerical outcome or a statement about all customers.

If a customer approves a specific quotation, preserve its meaning and approved attribution. Material edits or new uses may require renewed approval. Do not assume that approval for an event slide covers a permanent advertisement or a partner's campaign.

Map who will receive the material

Identify the publisher, delivery channels and any partner or platform involved. NIST's privacy framework provides context for reviewing information flows and purposes, but it does not grant rights to publish. Copyright, confidentiality, endorsement and personal-data questions may require distinct checks.

Share drafts only with the people needed for review. Avoid sending private service notes to a marketing group when a limited proposed statement is sufficient. Keep source evidence in an appropriate restricted location rather than attaching entire customer histories.

Maintain a review and withdrawal route

Record the approved version, owner, date and scope so later colleagues do not stretch an old permission. Review the material when the service, customer relationship or underlying claim changes. If the customer raises a concern or changes permission, assess the affected uses promptly through the authorized process.

A testimonial should not conceal unresolved service problems or become a condition of receiving support. Make it easy for the customer to decline without affecting the underlying relationship.

The usage-rights record is complete when the team can distinguish private feedback from approved public content and identify every material boundary of the permission. Until then, the feedback can still guide improvement within its authorized purpose. It does not need to become marketing to be valuable.
