Plan Research Coverage During an Absence
Prepare research absence cover with active questions, delegated limits, access checks, and return reconciliation, without sharing credentials or overloading backups.

An absence plan is more than a list of accounts and a colleague's name. The covering person needs to know which questions are active, what may proceed, what must wait, and where the evidence lives. They also need access that is appropriate for their own role, not someone else's password.
Start with continuity of decisions rather than continuity of every activity. Some research can wait without consequence. Other work needs a narrow handoff because an agreed review or account decision occurs during the absence.
Sort work by what will happen while the owner is away
Use three categories: cover now, schedule after return, and stop or close because the question is no longer needed. For cover-now work, identify the actual deadline or event, the minimum useful output, and the consequence if it cannot be completed.
Do not transfer an entire backlog simply because it exists. A covering colleague may have their own commitments, and an unprioritized list hides the one task that matters. Agree what will not be done so the plan does not create an impossible silent promise.
Record absence dates and the operational coverage window without including private reasons. The research team needs availability and responsibility, not personal details unrelated to the work.
A fictional continuity packet
Imagine a researcher is away for one working week. The packet contains three assignments:
Account H12: a site-operator question blocks an internal service review on Wednesday. Cover owner Maya may inspect the approved evidence and return a supported or unresolved answer; she may not merge entities or initiate contact.
Account J08: an optional industry classification update has no deadline before return. It is scheduled afterward, with no substitute assigned.
Account K31: a research request became obsolete when the project paused. The requester confirms closure; it is not handed over as active work.
H12's detailed note identifies the site, the two candidate operators, source references, the last checked date, and the specific missing relationship. It says which source would resolve the issue and names the data steward for escalation. A backup is named only for the deadline-critical review, not as a vague co-owner of everything.
Check access before the absence starts
Have the cover owner open the permitted evidence and tracker using their own account. A link that works only for the departing researcher is not a usable handoff. Resolve necessary access through the organization's approved process before the first urgent request arrives.
The NIST CSRC Glossary: Least privilege defines least privilege around the minimum access and authorizations needed for assigned work. Applied here, a one-week coverage task does not automatically justify broad export rights or access to every contact record.
Never share session cookies, account passwords, or another person's login to simulate continuity. If the required source cannot be accessed through an authorized arrangement, record the limitation and narrow or defer the task.
Specify authority and communication boundaries
Covering research does not necessarily include changing account ownership, approving a proposal claim, or contacting a prospect. List the permitted actions and the decision owner for anything outside them. A temporary cover label should not silently rewrite the permanent relationship owner.
Check pending drafts and scheduled tasks. A new reply or restriction during the absence may make an earlier next step obsolete. The cover owner needs a clear route to stop the affected action and notify the appropriate colleague, not an instruction to keep the old plan moving regardless.
If the primary cover becomes unavailable, the backup receives the current packet and actual progress. Avoid two people independently working from the original version and producing competing conclusions.
Reconcile on return
The returning researcher reviews material changes, unresolved questions, and decisions made during coverage. The handback for H12 might say the operator remains unresolved, two new sources were checked, and the data steward owns the next review. That is a complete continuity update even without a positive factual answer.
Confirm temporary assignments and access are reviewed through the approved process. Keep the history needed to explain changes without retaining unnecessary duplicate files.
A successful absence plan prevents both dropped work and unauthorized improvisation. The covering person should know what success looks like, what they are not expected to decide, and how to leave a clean record for the colleague who returns.
