Distinguish Unknown and Not Applicable in CRM Fields

Distinguish unknown, not applicable and not yet researched with a null-state dictionary, clear transitions and safer downstream rules.

Three empty location fields mean not researched, unknown and not applicable, with different actions.
Three empty location fields mean not researched, unknown and not applicable, with different actions.

An empty CRM field can mean “we have not looked,” “we looked but could not establish it,” or “this does not apply.” Treating all three as the same blank makes research queues and completeness reports unreliable. Filling blanks with guessed values is worse because it hides uncertainty behind apparent progress.

Create a null-state dictionary. Keep the value separate from the reason no value is available. This lets the system distinguish missing work from a legitimate absence and prevents downstream users from interpreting an empty cell as a negative fact.

Define states by operational meaning

Not yet researched means the relevant check has not been performed. Unknown means the check was attempted or the question was raised, but no supported answer is available. Not applicable means the field does not make sense for this record under a defined rule. Consider separate states for conflicting evidence and withheld information when the workflow genuinely needs them.

Do not use unknown as a universal catch-all. A source conflict requires a different next action from an untouched field. Do not use not applicable merely to avoid an incomplete-record warning. Every such state should have a reason that another colleague can understand.

Build a field-level dictionary

For each field, define allowed null states, the evidence needed to assign them and the action each state triggers. Some fields should never use not applicable. Every organization record needs an identity, even if a particular external identifier is unavailable.

Keep actual values out of the state labels. A text string such as “unknown” in a date field can break sorting or imports. Use a separate status property or an approved structured representation. Verify how the actual CRM handles empty cells, clearing values and enumeration options before loading data.

Work through a fictional research queue

Fictional Oakstrand Research tracks whether a company operates a service location in the team's coverage area. Three synthetic records have empty location values, but they should not receive the same action.

  • Record C-71: not yet researched; assigned researcher has not checked the company's location information; next action is the permitted source review.

  • Record C-72: unknown; reviewed sources do not distinguish the relevant operating site from a postal address; next action is a bounded clarification or defer decision.

  • Record C-73: not applicable; the agreed service is remote and location does not affect this particular qualification decision; reason linked to the service scope.

A report now shows one incomplete research task, one unresolved fact and one intentionally unused field. It does not claim that all three companies lack locations or that the research is universally complete. These records are illustrative, not observed results.

Define transitions and review responsibility

A field can move from not yet researched to unknown after an unsuccessful check, then to known when appropriate evidence appears. It can move from known to conflicting when credible evidence disagrees. Preserve the important transition reason without retaining unnecessary source material.

Assign an owner for questionable not-applicable classifications. If the product scope changes, an inapplicable field may become relevant again. Do not leave an old exemption in place simply because it helped an earlier report reach full completeness.

Make downstream rules respect uncertainty

A filter asking “has no operating site” should not include unknown records. A contact-ready queue should not treat an unknown permission state as permission. An import should not replace a verified value with a blank merely because the incoming file did not research that field.

Test these conditions with synthetic records before production use. Include a known value becoming disputed, a not-applicable state becoming relevant and an incoming empty cell that should leave existing information unchanged. The precise implementation depends on the system and import method.

The dictionary is complete when each empty value has an understandable meaning and a proportionate next action. It should make uncertainty easier to see, not turn every record into a bureaucracy of required fields.

Research access and CRM configuration are separate purchases. Leads Automation offers an independent US$15/month service and is not affiliated with LinkedIn.
