Design Prospect Records That Exclude Sensitive Guesses
Review prospect fields for necessity and exclude sensitive personal guesses from columns, notes, AI outputs and imported enrichment data.

A prospect record should support a defined business decision, not accumulate guesses about a person's private life. Fields for inferred health, ethnicity, beliefs, financial difficulty or family circumstances can introduce serious privacy and fairness risks while adding little legitimate value to ordinary account research.
Review proposed fields for necessity before creating them. The question is not whether information could be found or guessed. It is whether the information is appropriate, supported and needed for the permitted task. This guide is a design safeguard, not legal advice or a determination of applicable privacy obligations.
Begin with the decision the field serves
For each field, write the action it changes, the business purpose, the evidence source, who will access it and how long it is needed. “Personalization” is too vague to justify collecting private characteristics. A service-coverage decision may need an operating location; it ordinarily does not need the contact's home address.
Prefer organizational facts and confirmed professional responsibilities when those answer the question. If a task can be completed using a role or team, avoid collecting additional personal detail simply because a CRM template includes space for it.
Use a necessity-based field review
Classify a proposed field as required for the defined task, useful but optional, unnecessary, or restricted for specialist review. Document why. The final category should not become a loophole for routine collection; no sensitive field should be activated before the appropriate authorized assessment.
Add an explicit prohibited-inference rule to research instructions. Do not derive health conditions from absences, financial distress from a delayed reply, political beliefs from appearance, or personal vulnerability from social activity. An AI-generated guess is still a guess, not a source.
Review a fictional schema proposal
Fictional Juniper Account Research is designing a record for identifying the owner of a warehouse scheduling workflow. Proposed fields include employer, relevant role, operating site, source date, inferred age, home neighborhood and presumed stress level.
The review retains the professional role and relevant operating site with evidence requirements. It keeps employer identity and source timing because they prevent misattribution. It rejects inferred age, home neighborhood and presumed stress because they do not establish responsibility for the workflow and invite unnecessary personal profiling.
The useful next question is who maintains the schedule and whether a discussion is appropriate. It is not how to target a person based on private characteristics. This is a synthetic review example and does not involve any real individual's information.
Protect free-text fields as well as columns
Removing a sensitive column is insufficient if notes or AI summaries continue generating the same speculation. Give reviewers examples of acceptable business observations and prohibited interpretations. “Asked for an accessible document format” can guide document delivery; guessing a medical condition is unnecessary.
Use access restrictions and approved handling where a person voluntarily supplies information that genuinely needs special treatment. Do not reproduce it in a broad schema-cleanup report. Record only the necessary handling instruction when that is sufficient for the task.
Test the workflow against tempting shortcuts
Provide synthetic source material that contains irrelevant personal details. Check whether the research output excludes them. Test a prompt asking for “likely personality” or “hidden motivations”; the workflow should redirect toward observable business behavior and unresolved questions rather than manufacture a profile.
Review imports and enrichment services too. A field can enter the system through a connector even when staff never type it. Verify the actual product settings, access controls and permitted data uses before enabling such flows. A technical capability does not establish an appropriate purpose.
The review is complete when every retained field has a clear business use, supported evidence path, responsible owner and proportionate handling rule. Unnecessary fields should be excluded or removed through the approved process, with downstream copies addressed where relevant. A smaller prospect record is stronger when it helps the team act on professional context without turning private guesses into durable facts.
Research access and CRM configuration are separate purchases. Leads Automation offers an independent US$15/month service and is not affiliated with LinkedIn. Confirm the actual plan, eligibility and terms; do not assume schema design, imports or integrations are included. Discuss the offer on WhatsApp.
