A fictional closure record requires relevant new context and permission, or a request to resume.

A partnership conversation can become dormant because there is no suitable customer situation, no available capacity or simply no shared priority. Repeated “checking in” messages do not resolve those conditions. Close the current loop clearly and record what would justify revisiting it.

The artifact is a closure and re-entry record. It should preserve genuine commitments, current preferences and the specific missing condition without turning an inactive discussion into a permanent outreach sequence. Closing is an operating decision, not a judgment about the other firm's interest or character.

Check what remains owed

Review the latest authorized conversation. Did either side promise a document, an answer or a future discussion? Complete or clarify those commitments through the agreed route before marking the conversation closed. Do not invent an obligation because an exploratory meeting occurred.

Distinguish no response from an explicit decline, and distinguish a timing preference from a request for ongoing reminders. Silence does not establish interest, permission or a useful reason to keep sending messages. Applicable communication rules and prior preferences still govern.

Complete a fictional closure record

Fictional Alder Advisory and Pine Training discussed a referral model for supervisor workshops. They found a plausible fit but no current customer situation and no agreed pilot. Pine later says it cannot review the idea this quarter and does not request reminders.

  • Current state: exploratory conversation closed for now; no active partnership.

  • Outstanding commitments: one factual service summary already supplied; nothing further owed.

  • Contact preference: no recurring follow-up requested; preserve the timing statement without expanding it.

  • Re-entry condition: a genuinely relevant customer situation and appropriate permission, or Pine asking to resume.

  • Prohibited assumption: do not describe Pine publicly as a partner or promise referrals.

  • Internal review: remove obsolete follow-up tasks through the authorized process.

This fictional record does not prescribe a universal waiting period or claim that a later event automatically authorizes contact.

Decide whether a closing message is useful

A brief closure may be appropriate when both sides have an active exchange or a promised next step needs resolution. It should state the current position without guilt, false urgency or a demand for a reply. Do not send a “final message” merely to create another touch in a sequence.

If the other party has asked for no further contact, respect that instruction rather than using closure as an exception. Where the communication scope is unclear, follow the relevant review process. This guide is not legal advice for every jurisdiction or channel.

Make re-entry depend on new context

A future product change, new service boundary or buyer-requested introduction may make the idea relevant again. Check whether the change actually addresses the reason the earlier conversation stopped. A generic company announcement should not be treated as a pretext to restart contact.

Preserve the source of the original closure and any later reopening decision. W3C's provenance perspective is useful for understanding why a record changed. The log should distinguish a new request from an internal desire to revive the opportunity.

Remove dormant pressure from the workflow

Review reminders, shared tasks, CRM status and automated sequences where authorized. Closing one record is insufficient if another tool continues sending messages. Keep minimal suppression or preference information according to the appropriate policy so a later import does not erase the boundary.

Do not delete useful contractual or project history simply to tidy the pipeline. Retention and access decisions require their own review. The active view should show that there is no current joint work, while justified history remains understandable.

The closure is complete when no unfulfilled promise or inappropriate follow-up remains, and a future colleague can see what would need to change before reconsideration. A dormant partnership can stay dormant without damage. Respecting that state often preserves more trust than trying to manufacture momentum from a conversation whose purpose has ended.
