A follow-up plan needs more than dates. It needs a reason to contact the person again, a record of their preferences and clear conditions for stopping. Without those boundaries, a sequence can continue long after its original context has disappeared.
Separate three different situations
A prospect who requested a proposal, a contact who said to return next quarter and someone who never replied should not enter the same sequence. The first person is expecting a specific deliverable. The second gave a bounded timing preference. The third has not expressed interest simply by receiving a message.
Record the situation in ordinary language. For example: requested a one-page scope by Thursday; asked for no contact until budget planning in January; no response to a first relevant introduction. Keep the source and date so a teammate can understand what was actually agreed.
Write stop rules before scheduling reminders
Stop when the recipient asks you not to contact them or clearly declines further discussion.
Pause when the person changes role and the original business context no longer applies.
Stop a duplicate sequence when another teammate is already managing the relationship.
Pause when a critical claim in the outreach is discovered to be wrong.
Review silence rather than treating it as permission to continue indefinitely.
These are operational safeguards, not a substitute for the rules applicable to your market and channel. LinkedIn's Professional Community Policies prohibit spam and irrelevant or repetitive unwanted promotion. Do not use connection invitations as disguised advertising or attempt to bypass restrictions.

Give every follow-up a useful purpose
Before sending, complete this sentence: this message is useful now because the recipient asked for it, because it answers an outstanding question, or because a verified relevant change makes reconsideration appropriate. If the only answer is that the calendar says so, reconsider the message.
Suppose a prospect asked whether your onboarding service can support a specific system. A useful follow-up answers that question honestly, states any dependency and asks whether they want to continue. A message saying only that you are checking in creates another task for them without resolving the original issue.
Keep reminders separate from sending
A reminder can tell the account owner to review the situation. It does not need to send a message automatically. At review time, inspect the last exchange, the latest account information, any stop preference and the promised next step. Approve a draft only after those checks.
Sales Navigator may provide relevant lead or account updates according to the available product features. An update is a reason to investigate context, not evidence that contact is welcome. Record any resulting business observation accurately and avoid drawing personal or sensitive conclusions.
Use a compact follow-up record
Keep the account owner, previous interaction date, next action, reason for that action, agreed timing, allowed channel where known and current stop status. Do not store unnecessary personal details. When a preference changes, update the systems used by the people who might contact the prospect.
For an unanswered first approach, a team can define a conservative review policy appropriate to its context. There is no universal number of follow-ups that guarantees a reply or makes unwanted contact acceptable. A manual decision to close the attempt is a valid outcome.
Close loops without creating pressure
If you promised information, provide it as agreed. If the opportunity is unsuitable, mark the reason and move on. If someone requests a future discussion, preserve that request without expanding it into unrelated communications. The aim is to be easy to work with, including when the prospect does not buy.
