A CRM summary should help the next person understand what is known and what happens next. AI can shorten a long research note, but compression can remove the very details that make it trustworthy: who said something, when it was true, whether it was confirmed and which action was actually agreed.
Use AI to draft a summary from authorized source material, then review it before changing a shared record. Keep the original evidence available rather than replacing it with a confident paragraph.
Separate research, conversation and interpretation
These three information types deserve different labels. Research describes an observed public fact. Conversation notes describe what a particular person said. Interpretation is your team's explanation of why those observations might matter.
For example, “Company announced a new site” is research. “Operations manager said rollout planning starts in November” is a conversation note, if accurately recorded. “May need support before the rollout” is an interpretation. Combining them into “Customer requires implementation support in November” creates a commitment that no source establishes.
Use a short, stable summary structure
Context: why this account or contact is being reviewed.
Verified facts: source-linked observations with relevant dates.
Customer statements: attributed information from authorized notes.
Open questions: important unknowns and conflicting evidence.
Agreed next step: action, owner and date only when actually agreed.
Keep qualification fields separate from narrative. A positive conversation does not automatically authorize changing opportunity stage, forecast amount or close date. Those updates should follow the team's defined criteria.
Give the model a preservation prompt
Try: “Summarize the supplied notes for an internal CRM record using the defined sections. Preserve who said each material statement and its date. Distinguish public research, customer statements and seller interpretation. Keep uncertain language and unresolved contradictions. Include only agreed next steps. Do not invent budget, authority, need, timing, commitments or contact details. Return a draft and a list of proposed field changes separately.”
Ask for a missing-information list instead of an elegant sentence that fills the gaps. Anthropic's grounding guidance supports source checking and explicit uncertainty; these practices still need human verification.

Review what was lost as well as what was added
Compare the draft with the source notes. Check names, dates, company identity, negations and conditions. “Interested if integration is available” must not become “interested.” “No project this year” must not disappear because the summary focuses on positive signals.
A fictional buyer says: “Send the technical overview, but we are not scheduling a demo yet.” The correct next step is to send the requested overview through an authorized workflow. It is not to book a demonstration or enroll the person in an automated sequence.
Have the account owner approve changes to commercially important fields. Record a review date and keep the summary linked to the underlying notes so later readers can inspect the context.
Check integrations before planning automatic writeback
A workflow that produces a draft summary is different from one that writes directly into a CRM. LinkedIn's CRM setup guidance identifies Advanced Plus eligibility for its CRM integration. Compatibility, admin permissions and feature availability still need checking for the specific environment.
Do not assume that an independent access offer includes a particular CRM integration, native AI capability or third-party software subscription. If direct writeback is unavailable, a reviewed manual handoff can be more appropriate than an unsupported workaround.
Maintain the summary as evidence changes
Update the record when a buyer corrects a detail or a role changes. Keep a concise explanation of material corrections. Avoid appending another AI paragraph that leaves the old claim active elsewhere in the same record.
Use a clear CRM handoff for ownership and source tracking to preserve the audit trail.
