Validate Currency and Decimal Separators in CRM Data

Test locale-specific amounts, currency codes, zero and unknown values before imports, and keep parsing separate from exchange-rate conversion.

Three declared numeric formats preserve separate USD and EUR units and hold ambiguous values.
Three declared numeric formats preserve separate USD and EUR units and hold ambiguous values.

The value 1,234 can mean one thousand two hundred thirty-four or a number with three decimal places, depending on the source convention. A currency symbol introduces another ambiguity: a dollar sign alone does not identify which dollar currency is intended. An importer can accept both values while assigning the wrong commercial meaning.

Use a numeric-format contract for account data. It should state the currency, unit, decimal convention, grouping convention, precision, and treatment of unknown values. Keep formatting conversion separate from currency conversion and from estimates of business value.

Establish meaning before parsing

For each monetary field, identify whether it represents annual revenue, contract value, a monthly budget, or another measure. Record the period and whether the number is an estimate. A correctly parsed amount attached to the wrong period remains misleading.

W3C's data best practices recommends locale-neutral data representations. Apply that idea by choosing an unambiguous destination format supported by your importer, while retaining source context where needed. Do not assume a currency display setting changes the underlying currency or performs an exchange-rate conversion.

Keep identifiers out of the numeric pipeline. Postal codes, registration numbers, and product codes may contain digits but must follow their own text rules. A decimal-cleaning function should operate only on fields whose numeric meaning is established.

Fill a fictional locale matrix

The synthetic fixture below defines its source conventions explicitly. The proposed destination representation uses a period for decimals and a separate currency code, subject to the actual importer's requirements.

  • N01: source 1,234.56 under a documented comma-grouping convention; amount 1234.56; currency USD.

  • N02: source 1.234,56 under a documented period-grouping convention; amount 1234.56; currency EUR.

  • N03: source 1 234,56 with documented space grouping; amount 1234.56; currency EUR.

  • N04: source 1,234 with no locale or unit documentation; quarantine as ambiguous.

  • N05: source zero with a confirmed zero value; preserve zero.

  • N06: blank because the amount is unknown; preserve unknown, not zero.

  • N07: a negative amount representing an approved adjustment; preserve its sign and category.

The first two numeric magnitudes match, but their currencies differ. They must not be added as if they were the same unit.

Test parsing and aggregation separately

Parse the fixture using the documented source conventions. Compare each result with the expected numeric value and currency. Then import and re-export through the actual destination route. Inspect precision, sign, and blank handling, not merely the displayed symbol.

If the destination rounds values, record the supported precision and the approved business rule. Do not silently round an identifier or a monetary field that requires greater precision. If a source uses parentheses for negatives or includes unit suffixes, add explicit cases rather than relying on an undocumented general cleanup.

Reconcile totals only within compatible currencies, periods, and measures. For a synthetic check, N02 and N03 sum to EUR 2469.12. N01 remains a separate USD amount. That arithmetic validates this tiny fixture; it does not establish that every production row has the same convention.

Refuse plausible guesses

Suppose an export mixes 1,234 and 1.234 without source-locale metadata. The operator cannot safely decide that all commas are grouping separators simply because most rows look familiar. Request the source specification or a corrected export. Hold ambiguous amounts outside budget scoring and financial reporting.

If a later task requires currency conversion, treat it as a separate reviewed calculation with the rate source, rate date, direction, and rounding rule. Do not infer an exchange rate from two amounts that happen to look related. Keep original amounts alongside any permitted converted measure.

The acceptance worksheet should show raw value, declared convention, parsed amount, currency, unit, precision, destination result, and exception decision. Release the field only when formatting changes preserve meaning. A number that looks neat in a CRM can still be wrong by orders of magnitude, and the contract is what makes that risk visible.
