A technical validation meeting should resolve a defined uncertainty. It is not a general product presentation with an engineer added to the invitation. Identify the proposed use, the conditions that must hold and the evidence needed before deciding who should attend.
Start with a short question list. Can the required records move between the approved systems? Which fields need transformation? Who will maintain the connection? What happens when a required value is missing? Keep commercial assumptions separate from technical claims so a positive demonstration is not mistaken for complete approval.
Invite roles, then confirm people
The meeting may need a process owner, a system administrator and a delivery specialist. It may not need every executive connected to the project. Explain why each role is useful and ask the buyer to identify the appropriate participants. Do not assume a public job title establishes authority over a specific system.
Share the proposed agenda and prerequisites in advance. A specialist who receives an unfamiliar integration question during the meeting may be unable to give a reliable answer. Allow time for investigation rather than pressuring them to estimate compatibility live.
Define a safe test environment
Use approved sample data and a suitable test environment where available. Avoid sharing passwords, session cookies or production credentials in meeting notes or chat. If access is required, follow the organization's authorized process and keep permissions limited to the task. A sales demonstration should not create ongoing access as an accidental side effect.
List what the test will touch and what it will not. If the meeting is read-only, preserve that boundary. If a change is necessary, obtain the appropriate authorization before making it. The presence of a technical attendee does not automatically approve every action.
If Sales Navigator access is part of the proposed workflow, confirm the exact service and applicable product plan first. Ask about the US$15/month offer. Leads Automation is independent and is not affiliated with LinkedIn. Confirm the plan, eligibility and service terms before ordering.
A fictional validation agenda
Imagine Pine Systems evaluating a workflow between an enquiry form and a CRM. The first test checks whether a new enquiry can be matched to the correct account. The second tests an ambiguous company name. The third checks what happens when the owner field is unavailable.
The team discovers that the standard path works but ambiguous matches require review. The result is documented as partial validation with a human review requirement. It is not described as a fully automatic integration simply because one sample completed successfully.
Record evidence at the right level
For each test, note the input, expected behavior, observed result and remaining uncertainty. Include version or configuration details when they affect the result. Screenshots can help, but they should not replace a clear explanation. Avoid capturing sensitive customer information unnecessarily.
If a feature depends on a product plan, region, administrator setting or approved integration, verify that dependency in current official documentation. Do not infer availability from a salesperson's demo environment. The customer's actual account must support the proposed workflow.
Finish with a decision and ownership
Which requirements were validated?
Which failed or remain untested?
What configuration or development work is required?
Who owns each follow-up investigation?
What evidence is needed before a commercial commitment?
Send the findings to the agreed participants and distinguish observations from recommendations. A technical meeting can legitimately conclude that the proposed solution does not fit. Clear limits protect both the buyer and the delivery team, and prevent a successful demonstration from becoming an unsupported implementation promise.
Do not assume a lower-priced service includes a particular integration or technical entitlement. Review the US$15/month offer with Leads Automation and check whether the stated service fits your needs.
