Respond to Prospect Data Correction Requests
Capture correction requests, verify proportionately, update dependent systems, and prevent stale enrichment or imports from restoring inaccurate prospect data.

A prospect replies, “I left that company last year. Please correct your records.” The salesperson updates one visible field, but an enrichment feed restores the old employer the next morning. Another teammate continues using the incorrect role in outreach. A correction is not complete until the relevant downstream uses and refresh routes reflect the reviewed change.
Treat the message as a correction intake, not an objection to overcome. Preserve the request, route any rights-related aspects to the privacy owner, and identify the systems that rely on the disputed information. Avoid collecting additional personal detail unless it is necessary for appropriate verification.
Recognize the request without demanding legal terminology
The ICO's UK rectification guidance explains that correction requests can be verbal or written. It is marked under review following legislative changes, so check current requirements and deadlines through the responsible reviewer. Do not wait for the person to cite a statute before recording the issue.
Capture the disputed field, what the person says is wrong, the proposed correction if supplied, received time, and relevant identity context. Distinguish a factual correction from a request to delete data, stop marketing, or challenge an opinion. One message can contain several requests that need coordinated handling.
Do not promise immediate completion across every system before you have checked the actual scope. Acknowledge through the authorized process and assign a responsible owner promptly.
Use a fictional correction ledger
Synthetic contact R61 reports that the recorded employer is outdated. The organization holds the field in a CRM, a sales spreadsheet, and a provider-fed enrichment cache.
Intake: employer challenged; source is the person's direct message; request date recorded.
Verification: use proportionate existing account context; no unnecessary identity document requested.
Immediate control: pause outreach depending on the disputed employer while it is reviewed.
Canonical correction: update the approved current-employer status and provenance after review.
Downstream destinations: CRM view, spreadsheet owner, enrichment process, and any relevant external recipients assessed.
Reversion prevention: stop the stale feed from overwriting the reviewed correction without a new decision.
Completion evidence: compare affected records and document unresolved destinations.
The example is fictional and does not prescribe a universal legal response. It shows how one correction can require several operational steps.
Correct the claim without inventing a replacement
If the person says they no longer work at a company but does not name a new employer, record the old relationship as no longer current. Do not search for or infer the new job merely to keep the field complete. Preserve historical context only where justified and clearly labeled.
If two sources conflict, retain the challenge and evidence for the authorized reviewer. A licensed database does not automatically outrank the individual's statement. Equally, the process should consider appropriate verification rather than allowing anyone to rewrite another person's record without scrutiny.
Review dependent conclusions. Removing an old employer may invalidate territory assignment, account ownership, qualification, or a planned message. A corrected field that leaves those derived actions unchanged can still produce the same practical error.
Carry corrections through controlled copies
Identify which recipients or systems received the inaccurate data and let the privacy owner determine required notifications and other steps. Do not distribute the person's full request broadly as a shortcut. Provide only the correction context necessary through authorized routes.
For spreadsheets and exports, notify the accountable copy owner and verify that the active version changes. A note in the main CRM does not update an attachment already being used elsewhere. Where a destination cannot be verified, report that limitation instead of marking the whole case complete.
Test the next scheduled refresh with a synthetic equivalent. Confirm that the stale source does not reinstate the disputed value and that the corrected status survives a merge or reimport.
Close the ledger with the reviewed decision, affected fields, downstream actions, remaining limitations, and response handled by the authorized owner. Respect the person's preferences throughout. A correction should improve accuracy and trust, not become an excuse to gather more information or restart sales contact.
