Record Verbal Interest Without Claiming a Signed Deal
Use a commitment-evidence ladder to preserve positive verbal indications, unresolved conditions and the exact basis for commercial status.

Record the encouraging words without upgrading them
“This looks good; I expect we can proceed” is useful information. It is not a document signature, and it may leave scope, authority or conditions unresolved. A CRM should preserve that meaning instead of translating a positive conversation into a completed agreement.
This ladder is an internal recordkeeping method, not a test of contractual enforceability. Refer contractual-status questions, with the actual communications and applicable documents, to the responsible commercial or legal reviewer.
Use an evidence ladder without assuming every deal follows it
The following ladder is an editorial vocabulary for distinguishing evidence, not a mandatory sequence. A buyer may skip a step, withdraw an indication or use an agreed acceptance process that does not resemble another customer's. Store the evidence type and unresolved conditions rather than forcing every interaction into a universal path.
Interest expressed: The person sees possible relevance. Safe status wording: “Interested in evaluating the proposed workflow.” Not justified: “Purchase approved.”
Positive verbal indication: The person says they expect or intend to proceed, potentially with conditions. Safe wording quotes or faithfully summarizes the indication and names those conditions. Not justified: “Signed.”
Specific acceptance evidence received: A defined communication or document appears to accept identified terms. Record its source, scope and the responsible review status. Do not assume the speaker's authority or the legal effect from enthusiasm.
Required agreement process verified complete: The designated owner confirms that the organization's required acceptance evidence is complete for the identified version and counterparty. Use “signed” only when the relevant signed document actually exists.
The W3C PROV overview connects information to the people and activities involved in producing it. Applied here, a conversation note and a seller's later classification are separate records with separate authorship, not two independent confirmations of agreement.
A completed commitment-evidence record
Consider this entirely fictional conversation on 16 October. Morgan, a buyer's project coordinator, says: “The one-team discovery proposal looks right to me. I expect we can go ahead once finance confirms the budget. Please send the final document for review.”
The seller's record should preserve the following entries:
Source: Dated conversation note CN-16, attributed to Morgan in the project-coordinator role. Note recorded by seller Priya after the call.
Proposal reference: P-44 v2, one-team discovery only. The statement does not cover a later implementation phase or a changed price.
Evidence classification: Positive verbal indication with an explicit budget condition. No signed document received.
Open conditions: Finance confirmation outstanding; Morgan's authority to accept commercial terms not established; final document still requested for review.
Operational status wording: “Positive indication on P-44 v2; finance confirmation and required acceptance review pending.”
Permitted internal next work: Prepare the identified document for the normal approval process and verify the appropriate acceptance route. No delivery start or buyer purchase commitment is recorded.
Review owner: Commercial owner Lee checks later evidence before changing agreement status. Priya may add factual communication notes without making the acceptance decision.
Keep later evidence separate from earlier optimism
If finance later confirms a budget, attach that evidence and resolve the budget condition. It does not automatically resolve signatory authority, final scope or the required acceptance process. Conversely, if Morgan says the project is paused, preserve the earlier indication as history and update the current status. Do not keep it active because the original words sounded promising.
A written recap can help clarify meaning, but the seller's own recap is not independent evidence that the buyer agreed with every sentence. Absence of a correction should not be mechanically transformed into a signature or a completed acceptance record.
Counterexample: accepting a meeting
Suppose Morgan accepts a calendar invitation titled “Project kickoff discussion.” That establishes an accepted meeting invitation within its context. It does not independently prove acceptance of P-44 v2 or permission to begin chargeable work. If the title overstates the purpose, correct the meeting description through the appropriate authorized route.
The research-notes and commitments guide separates hypotheses from obligations. This evidence ladder adds a commercial-status check: keep encouragement, conditions, documented acceptance and signatures distinguishable so a colleague can act on what exists rather than what the seller hopes will happen.
