Handle Access Requests Without Exposing Other Records

Route data access requests to the privacy owner, inventory mixed records, and verify reviewed extracts and redactions before secure disclosure.

Mixed P24 records converge on controlled privacy review before any approved disclosure.
Mixed P24 records converge on controlled privacy review before any approved disclosure.

A person asks for the information your organization holds about them. The quickest CRM export includes their account, colleagues, internal notes, and an attachment containing several people's details. Sending that file without review could expose unrelated information. Refusing everything because the file is mixed could also mishandle the request.

Route the request to the privacy owner and assemble a controlled review packet. The salesperson's job is to recognize, preserve, and escalate it, not improvise legal exemptions or send a raw database export. This article provides a triage method rather than legal advice.

Establish ownership and timing immediately

Record the received date, exact request or controlled reference, channel, relevant identity information, and assigned handler. The handler should determine applicable law, deadlines, verification needs, and scope. Do not assume every country uses the same response period or that an internal handoff resets the clock.

ICO's right-of-access guidance describes access to a person's own information and supplementary information. Its guidance on other people's information explains that mixed records need a specific assessment. Neither supports an automatic rule to disclose everything or withhold everything.

Keep acknowledgment and verification proportionate. Do not ask for a passport by default when a less intrusive method appropriately establishes identity. Use the organization's secure verification process and avoid repeating sensitive identifiers in ordinary chat or broad tickets.

Prepare a search and review inventory

List relevant systems, owners, categories, search methods, and results. Include active CRM fields, permitted notes, associated communications, controlled exports, and relevant processor locations as directed by the handler. Do not assume one application contains every relevant record.

For each result, distinguish information about the requester, information about others, mixed content, duplicates, and material requiring specialist review. Preserve the original under appropriate controls while creating a separate review copy. Do not alter source records to make the request easier to answer.

Record where searches were performed and what limitations remain. A search that found no matching name may miss aliases, internal IDs, or correspondence linked through another field. Use proportionate, authorized search methods rather than gathering unrelated personal data.

A fictional mixed-record packet

Synthetic requester P24 asks for their prospect data. The review finds a personal contact record, a meeting note discussing P24 and colleague P25, and an account spreadsheet with ten unrelated contacts.

  • Contact record: review P24's fields and the required contextual information for disclosure.

  • Meeting note: identify which passages concern P24, which concern P25, and where the information is inseparable.

  • Account spreadsheet: isolate relevant data through an approved method; do not send the entire workbook by convenience.

  • Decision log: privacy handler records any disclosure, redaction, or withholding rationale and necessary response content.

The example does not predetermine whether P25's information must be disclosed or withheld. That decision requires the applicable legal assessment and context.

Verify the prepared output technically

Redaction is not simply drawing a dark box over visible text. Have an appropriately qualified person use a reliable redaction process and inspect the resulting file for hidden text, comments, tracked changes, layers, attachments, and metadata as relevant. Avoid putting the unredacted original into the same deliverable folder by mistake.

Check spreadsheets for hidden sheets, filters, formulas, and linked content. A filtered view may still contain excluded rows in the file. Where practical, produce a clean reviewed extract in an accessible format rather than assuming visual hiding removes information.

Confirm the recipient and secure delivery route through the authorized handler. Do not send a sensitive packet to an unverified replacement address merely because a new message requests it.

The completion record should show searches, review decisions, output verification, approved delivery, and remaining limitations. Preserve necessary evidence under the applicable retention plan. Keep marketing paused where the request or related complaint requires it, and do not append a sales pitch to the rights response. Good triage protects both the requester and other people whose information shares the same systems.
