A long prospect list is not the same as a useful one. Before opening Sales Navigator, write a one-sentence description of the customer you can genuinely help: their business type, location, typical role and the problem your offer addresses.

For example, a service for small software companies might focus on operations leaders rather than every employee with “manager” in their title. This is a starting hypothesis, not evidence that those people need your service.

Turn your hypothesis into filters

LinkedIn describes Sales Navigator filters for attributes such as function, seniority and company characteristics. Use relevant filters to narrow your search, then read a sample of profiles. Do the results actually resemble your intended buyers?

If not, change one criterion at a time. Overly narrow searches can hide suitable prospects; overly broad searches create extra review work. A job title alone does not establish purchasing authority, budget or interest.

Review first, save second

Create a small initial shortlist and check each person's current role and company context. Ask yourself: “Can I explain why this offer might be relevant without guessing about their private circumstances?” If the answer is no, keep researching or move on.

Once the criteria are useful, save the search. LinkedIn says saved searches retain your criteria and can notify you when new leads or accounts match. Review those matches rather than treating every alert as an invitation to pitch.

The goal is a repeatable research routine, not the largest possible audience. Better targeting helps you write more relevant messages, but it cannot guarantee replies or sales.
