Explain Automation State Clearly to Sales Staff
Create plain-language states and message cards that separate review, scheduling, partial completion, uncertainty and verified outcomes.

A salesperson should not need to understand workflow-engine internals to know whether work is waiting, finished or uncertain. Labels such as success, error and running often describe a technical step rather than the business outcome. Translate state into language that supports the next decision without overstating what the system knows.
A useful status explains three things: what has happened, what has not happened and who or what is needed next. Keep the wording short, but do not hide uncertainty behind reassuring phrases such as “almost done” when the destination outcome is unknown.
Define a business-state vocabulary
For the fictional research workflow at Ashwater Controls, the intended result is a reviewed evidence note linked to the correct account. The proposed user-facing vocabulary is:
Draft ready: material has been prepared for review; no shared-record update has occurred.
Waiting for review: an authorized person's decision is required; no execution is implied.
Scheduled: an approved action is waiting for its eligible time; it will be rechecked before execution.
In progress: processing is active; completion is not yet established.
Partly completed: named effects are confirmed, while other intended effects remain incomplete.
Outcome uncertain: an action was attempted, but available evidence does not establish whether it completed.
Completed and checked: the defined business result has been verified within the stated scope.
Stopped: work will not continue under the current instruction or policy; show whether it was canceled, denied or blocked.
Do not use color as the only distinction. People need the text and a clear next step, including in exported reports or assistive interfaces. Product-specific interface behavior should be checked separately before implementation.
Write messages from the ledger
Suppose synthetic operation O18 stored an evidence note but timed out while linking it to the account. A useful message is: “The note is saved. Its account link is not yet confirmed. The workflow operator is checking the link before any retry.” That is more informative than “Error creating note,” which incorrectly suggests the saved note does not exist.
For an item awaiting review, use: “The proposed update is ready for the research steward. No account fields have been changed.” For a confirmed rejection, use: “The reviewer declined this update. It will not run unless a new, appropriate decision authorizes a changed proposal.” Do not describe rejection as a technical failure to be automatically retried.
A state-to-message card
Record internal state, user-facing label, confirmed facts, prohibited implication and next owner. For O18, internal state is partial-with-uncertain-link; label is outcome uncertain; confirmed fact is note stored; prohibited implication is account updated; next owner is workflow operator.
This card is the usable artifact. It keeps product writers and engineers aligned so a new technical status cannot accidentally inherit the wording “completed.” Review all channels that display status, including notifications, dashboards and summary exports.
n8n distinguishes approval from denial before a gated tool executes. The broader proposed vocabulary also separates approval from completion. A reviewer clicking approve should not cause the user interface to claim that the downstream action has already happened.
Test understanding with concrete questions
Give an authorized colleague a synthetic status and ask: Has the account changed? Can I safely create the item manually? Who is responsible now? A good uncertain-state message should discourage duplicate manual action until reconciliation, without implying that the user has done something wrong.
If readers infer completion from “scheduled,” improve the label or explanation. If “stopped” leaves them unsure whether the item was denied or merely delayed, show the reason. Avoid adding a long technical stack trace as the answer; detailed diagnostics belong behind an appropriate controlled route.
Update status when evidence changes
When O18's link is verified, change the message to completed and checked, with the relevant scope and time. If the outcome remains unknown, keep it visibly unresolved rather than aging it into success. If the task is abandoned, say so explicitly.
The final vocabulary should make operational truth easier to understand. Clear wording does not repair a broken workflow, but it prevents a technical label from creating false confidence, duplicate work or an incorrect customer promise.
