Create a Quarantine Queue for Invalid Research Records
Define reason codes, owners, correction history and release criteria so invalid records stop safely instead of disappearing or looping.

Invalid research records should not disappear into a failed import or keep cycling through the same workflow. A quarantine queue gives them a visible, controlled place to wait while a person resolves the specific defect. It is a data-quality boundary, not a second production database.
Quarantine means the record is excluded from dependent processing until defined release criteria are met. It does not mean the data is safe to share broadly, and it does not authorize keeping unnecessary personal information indefinitely. Access and retention still need an owner.
Define what belongs in quarantine
Use it for records that cannot satisfy the current input contract: unresolved entity identity, missing required evidence, incompatible field values or a source format the pipeline cannot interpret. Distinguish these from a temporary service outage affecting otherwise valid records. The latter may belong in an execution-recovery queue instead.
For a fictional research workflow at Silverbank Controls, a record needs an internal account ID, a source reference and an evidence status from an approved list. Quarantine is triggered before any CRM update. The queue stores the minimum record context needed for correction, with a restricted link to fuller evidence when appropriate.
A usable quarantine schema
Quarantine ID: stable reference Q73, separate from the source record identifier.
Source identity: batch B12 and source row 18; intended account A44, currently unverified.
Reason code: ENTITY_CONFLICT; human-readable explanation names the conflicting evidence, not a generic failure.
Blocking fields: account identity and source-to-account assignment.
Owner: research steward; review due date set by the team's service policy.
State: awaiting evidence; release criteria require verified identity and a fresh validation pass.
History: original source version, correction version, reviewer and final disposition; no secret credentials or unnecessary payload copies.
This filled synthetic record shows what an operator needs to act. A queue entry that says only “bad data” invites guessing and repeated failed attempts. A reason code helps reporting, while the explanation makes the individual case understandable.
Work through a release decision
The source row says “Silverbank North,” while the account ID points to the South division. The steward checks permitted evidence and determines that the row concerns North. The correction creates a new reviewed record version with the proper account reference; it does not silently overwrite the original history.
Before release, run the complete input validation again. Fixing identity may reveal a missing source date or an invalid status. Release only when all required gates pass and the downstream action remains authorized. The correction itself does not grant permission for outreach or a broader import.
If identity cannot be established, the record remains held or is discarded under an approved retention process. Do not fill the field with the most plausible division simply to clear the queue. An unresolved outcome is legitimate when the evidence cannot support a safe assignment.
Prevent quarantine loops
Store the validation rule version and the reason for each rejection. If an unchanged record reappears, link it to the existing quarantine item rather than creating an unlimited stack of duplicates. A new source version can justify reevaluation, but it should not erase the previous failure reason.
n8n can deliberately stop an execution under chosen conditions. That can support a validation boundary, but the queue schema, access controls and release rules remain application design work. Do not assume an error handler automatically creates a complete quarantine process.
Review the queue as a process signal
Track aging, repeat reasons and outcomes without exposing private source content in dashboards. A growing ENTITY_CONFLICT category may indicate a poor account-matching rule; a growing missing-source category may mean the intake form asks for insufficient evidence. Fixing the upstream cause is better than using the queue to absorb permanent defects.
Close each item as released, rejected, superseded or retained pending a specific question. Record the final source version and responsible reviewer. The result should be a smaller set of trustworthy records, not a hidden backlog that management mistakenly counts as ready for use.
