The hardest part of AI outreach drafting is deciding what the message may truthfully say. A model can produce a fluent opening line from almost any account note, including a weak or outdated one. A useful drafting process therefore starts with an evidence boundary and ends with a person's decision about whether the message should be sent at all.
This workflow uses research you are authorized to hold, including your own permitted Sales Navigator notes. It does not collect whole profiles, guess private contact details or send LinkedIn messages automatically.
Prepare a message brief, not a profile dump
Give the drafting tool only the context needed for this one message. Include the recipient's verified professional role, a relevant company observation, the problem your service addresses, your actual capability and the intended next step. Record where the observation came from and when you checked it.
Also include exclusions. If you have not verified that the recipient owns a project, say that explicitly. If there is no approved customer result to cite, tell the model not to create one. Keep private information and unrelated biographical details out of the input.
Use a prompt that controls claims
Try: “Draft two short first-contact messages from the supplied notes. Use at most one verified account observation. Ask one relevant question. Do not claim the recipient has a problem, owns a budget or wants a new supplier. Do not invent familiarity, testimonials, results or urgency. Preserve the stated offer and do not add discounts or promises. After each draft, list the source IDs supporting its factual claims. Do not send anything.”
Specific context and clear instructions follow OpenAI's prompting recommendations. The source list is an internal review aid; do not paste a research audit into a short prospect message unless it genuinely helps the recipient.
Compare a weak and useful draft
Consider a fictional logistics consultancy researching a distributor that announced a second warehouse. A weak draft says: “Your rapid expansion must be causing inventory chaos. We can fix it immediately.” The language invents a problem and a delivery commitment.
A more restrained draft says: “I saw the announcement about your planned second warehouse. We help distributors document cross-site stock processes. Is that part of your team's opening plan, or handled elsewhere?” Use this only if the service description and announcement are accurate. The example illustrates structure, not a message to send unchanged.

Review five things before sending
Identity: the company, person and current role match the evidence.
Relevance: the observation connects to a real business question rather than decorative personalization.
Accuracy: every factual claim is supported, with no invented relationship or results.
Commitment: the message adds no unapproved price, timeline, guarantee or meeting arrangement.
Contact permission: the channel and outreach comply with applicable requirements and the recipient's stated preferences.
If the draft needs extensive correction, fix the input brief before generating more versions. Repeatedly asking for a “more persuasive” version can amplify the unsupported claim instead of solving it.
Keep drafting separate from delivery
Save an approved draft alongside its research context, then use the appropriate authorized sending workflow. Check stop requests immediately before sending, especially when drafts have waited in a queue. Human approval of a draft should not silently authorize future follow-ups.
LinkedIn prohibits third-party tools that scrape or automate activity on its website; see its automated activity policy. Verify subscription-specific features separately. An external writing assistant is not evidence that native messaging automation is available or permitted.
For safeguards around the wider process, read where to place approval gates. Keep recipient preferences aligned using the contact preference and suppression guide.

For another language, continue with multilingual B2B outreach review so the translated draft preserves the same meaning and commitments.
